Minimum Qualifications Open to NYS employees with one year of permanent or contingent permanent status as a Secretary 2 or in a title designated appropriate for Section 70.1 transfer of the Civil Service Law.
Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and eligible for transfer under Section 70.1 Transfer titles which qualify can be found on the Department of Civil Service website, http://www.cs.ny.gov/, search ”GOT-IT.” You may be required to demonstrate proficiency in keyboarding. Duties Description Reporting to the Chief Diversity and Inclusion Officer, the incumbent of the requested Secretary 2 position serves as principal secretarial support for the Office of Diversity and Inclusion (ODI) whose mission is to provide leadership, guidance and support with respect to diversity and inclusion issues at the Office of the Attorney General (OAG).

This position requires the incumbent to work independently with little direction or review of work, maintain strict confidentiality and professionalism with highly confidential material, and to have the ability to use proper judgment in prioritizing work to meet deadlines. The incumbent must clearly and effectively communicate with OAG staff and external partners. Specific duties include, but are not limited to, the following:

• Provide primary administrative and secretarial support to the Chief Diversity and Inclusion Officer. This includes preparation of confidential material and knowledge of ODI protocols, procedures and resources.
• Serve as primary Bureau contact to the Division of Administration including Human Resources for Bureau personnel matters, Information Technology for IT services, Admin Services for office equipment and supplies;
• Answer phone calls and take messages; respond to general questions concerning ODI programs/events; direct calls to appropriate parties;
• Review and distribute all incoming and outgoing mail:
• Maintain calendar; schedule and organize activities such as programs, meetings, conferences and other office activities;
• Assist with execution of program and events;
• Assist in drafting correspondence for the Chief Diversity and Inclusion Officer;
• Create and design event communications and posters;
• Make travel arrangements and prepare travel vouchers;
• Manage the filing system adhering with record retention policies and procedures;
• Distribute bulk external and office-wide emails; mail merge skills;
• Monitor email box, draft written responses to inquiries, and/or forward to appropriate person for response;
• Maintain financial records and prepare financial reports;
• Train and supervise interns; and perform other duties as assigned.

Additional Comments Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are also eligible to receive an additional $3,026 annual downstate adjustment.
