Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
Duties Description The incumbent will report directly to the Administrative Specialist 1. Duties will include, but not limited to:
• Sorting and distributing the mail.
• Answering the main phone line and appropriately responding to or referring inquiries made by employees, vendors and customers.
• Gather and compile data in order to provide assistance to all staff with purchasing and travel requests.
• Review vendor invoices to check for correct calculations and/or pricing and process payments by using a procurement card or creating vouchers.
• Data entry of fuel deliveries into the EJ Ward system.
• Assist with preparing Attachments A, B & C as needed.
• Type, proofread, review, and correct correspondence, documents, records and other written material.
• Assist IT Requestor with IT requests for Fleet Administration and Support staff.
• Utilize the State Financial System (SFS), AS400, P-Card System, Expense Anywhere, Microsoft (Word and Excel), and gain a working knowledge of these applications.
• Help the Division with special assignments as requested.
Responsibilities also may include serving a role within the Incident Command System to support the Department’s response to regional and statewide emergency situations.
