Minimum Qualifications Promotion:  one year as an Office Assistant 1 or one year of permanent service in clerical or keyboarding title allocated to Grade 5 or higher and candidate must have permanent appointment in an Office Assistant 2 classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2, full-time, Brockport location.

Duties Description To be an eligible candidate for this position you must meet the Minimum Qualifications listed above.

Position Summary:

Reporting to the Director of Environmental Health & Safety, this position will oversee data collection and all records related to environmental health and safety, physical services, maintenance services and energy management.  This includes data collection/records for fire and life safety compliance and training for these areas.  Oversight responsibilities include filing records, data entry on spreadsheets, tracking receipt of records, issuing reminders for records not received, and preparing related reports that will be sent to all facility and planning areas.  Examples of these records include employee training records, elevator inspections, fire drills, emissions, etc. 

Essential Functions:

Customer Service

Works continuously to improve office procedures and efficiencies.
Provides office support by serving as front line staff (monitors phones, one department email account, submitted online forms, supplies information and answers basic environmental, health and safety related questions).
Maintains a positive image ensuring a welcoming atmosphere.
Communicates to leadership, any pertinent updates that can impact delivery of services.
Resolves complaints and problems.
Prepare and submit purchase requisitions. Track receipt of services and equipment. Make purchases with college issued purchase card and reconcile transactions.
Ensure appropriate materials and equipment are available to meet department needs.
Updates and maintains campus AED equipment location records. Submits AED registrations.
Creates and maintains documents related to safety and fire and life safety code compliance, such as AED location maps, evacuation maps and signage.
Submits work orders through FootPrints.
Submits new product registrations for items purchased by EHS.
Maintains the department's inventory, reporting this to Property Control annually.
Enters records and runs work order status reports in FootPrints (work order system).
Inputs fire code compliance citation records into database and updates status. Runs compliance status reports.
Inputs campus asbestos testing records into database. Creates, updates, and maintains testing location maps.
Maintains MSDSonline software. Obtains, inputs, and files safety data sheet records.
Assists with campus fire drills and record keeping.
Submits hazardous waste-related records to regulatory agencies using e-Manifest.
Maintains campus regulated and non-regulated waste records.
Assigns and disseminates web-based trainings using campus e-learning software program.
Maintains record-keeping databases.
Maintains all regulatory and compliance-related records. Follows-up with applicable departments and vendors to obtain copies of records. Prepares summary reports of record statuses.
Assists with maintaining and updating department web page.
Processes travel and training paperwork for all professional staff.
Recruits, hires, and schedules student staff.
Assists in the development of training documents and maintains training records. Creates training record databases. Develops and prepares training status reports.
Provides assistance with outreach activities.
Coordinates trainings.
Determines catering menus, coordinates and schedules dates, rooms and equipment, arranges travel for external trainers and prepares all necessary paperwork.
Updates and maintains reports utilizing programs such as: Excel, Access, Footprints and EverFi training software.

Technical

Assists in upkeep of systems and programs used.
Assists with maintenance and updating of website.
Serves as the Administrator of MSDSonline.
Submits regulatory compliance records using e-Manifest.
Assists with the development of presentations and publications.

Preferred Qualifications:

Knowledge of Microsoft Office: Word, Excel, Access and Outlook.
Exceptional customer service skills.
