Minimum Qualifications Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding) Full-Time, Rochester location.
Duties Description To be an eligible candidate for this position you must meet all of the Minimum Qualifications listed above.
Position Summary:
The Office Assistant 1 (Keyboarding) for the Rochester Educational Opportunity Center is located in the Welcome Center. This position provides professional assistance and referrals to a large volume of daily visitors, staff and students.
Essential Functions:
Operates main Switchboard.
Receives calls promptly, accurately, and professionally.
Answers inquiries and directs and/or records messages to appropriate personnel or departments.
Maintains a sign-in visitor's log.
Controls escort required name badges to all visitors/guests.
Logs-in and coordinates incoming and outgoing courier mail/packages.
Prepares and/or processes all REOC outgoing and incoming mail:
Weighs the mail accurately
Codes
Sorts
Affixes postage
Prepares certified/rush/overnight/return receipt mail
Receives and distributes all mail in an timely manner
Ensures that mail is date stamped and delivered in a timely manner
Types correspondence, documents, records and other written material.
Maintains and operates copier and postage machine equipment:
Monitors the operation of all copier and mail owned equipment at REOC
Coordinates scheduling of all copier/postage machine repairs with outside contractor
Ensures that equipment is well stocked with supplies, i.e. - toner, tape, ink
Preferred Qualifications:
Excellent communication skills
Self-motivated with the ability to multi-task
Detail oriented
Professional with the ability to demonstrate outstanding telephone etiquette
Basic knowledge of MS Office
Excellent customer service skills
