Minimum Qualifications Open to NYS employees with one year of permanent or contingent permanent status as an Administrative Assistant 2 (Formerly Secretary 2) or in a title designated appropriate for Section 70.1 transfer of the Civil Service Law.
Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and eligible for transfer under Section 70.1 Transfer titles which qualify can be found on the Department of Civil Service website, http://www.cs.ny.gov/, search ”GOT-IT.” You may be required to demonstrate proficiency in keyboarding. Candidates reachable on the eligible list for this title will be considered through a canvass and do not need to apply.

Duties Description DUTIES:
• Answer telephones, take messages, and transfer to voicemail as appropriate, including:

o responding to inquiries concerning the New York City Appeals and Opinions Division;
o referring calls regarding appeals bureau work to the appropriate Assistant or Deputy Solicitor General;
o referring calls for nonappellate matters to appropriate bureau or office.

• Review incoming correspondence and docketing notices to determine their significance and determine what information will be needed for response.
• Open, review, sort, and distribute mail within Appeals & Opinions, or direct mail to appropriate bureaus or offices. Communicate with other bureaus and offices to determine how to redirect mail as appropriate.
• Prepare outgoing correspondence and documents as assigned, including review of outgoing correspondence for proper grammatical usage and accuracy.
• Contact courts for docketing information or status of matters (e.g., has a document been accepted for filing or has court set a response date).
• Maintain list of new matters requiring assignment by Deputy Solicitor General.
• Create and maintain case files and correspondence files in paper or electronic format.
• Schedule meetings and maintain appointments calendars.
• Maintain calendars for upcoming brief and argument deadlines, including prompt updating of dates and other information as appropriate.
• Make travel arrangements, including booking of transportation and lodging, and completion of OAG travel documentation.
• Prepare purchasing requests, vouchers, reimbursement requests, and related documentation.
• Ensure that office equipment is in working order.
• Maintain and order office supplies.
• Train new staff members and assign work to clerical staff or student assistants.
• Review office procedures and forms. Recommend changes, when appropriate.
• Maintain and update NY Matters case-management database.
• Prepare case files closed by attorneys for shipment to archived records, retrieve case files as requested, and maintain and update paper archive management system.
• Perform other duties as assigned.

Additional Comments Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are also eligible to receive an additional $3,026 annual downstate adjustment.
