Minimum Qualifications Administrative Assistant Trainee 1, SG-8:

Reachable on the Secretary 1 eligible list OR one year of permanent or non-competitive service in a title SG-6 or higher and otherwise eligible for transfer. (see note below)

Administrative Assistant Trainee 2, SG-10

Reachable on the Secretary 1 eligible list and completion of qualifying coursework (see note) OR one year of permanent or non-competitive service in a title SG-8 or higher and otherwise eligible for transfer. (see note below)

Administrative Assistant 1, SG-11

Permanent service in a competitive or non-competitive Secretary 1 title OR one year of permanent service in a title SG-9 or higher and otherwise eligible for transfer. (see note below)

NOTE: A new two-year traineeship (Administrative Assistant Trainee 1 & 2, NS=Grade 8 & 10) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas, through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Completion of coursework is not required for appointment to the Trainee 1 level, however, you may be required to take a keyboard performance test if you have not served in a keyboarding title or previously passed a keyboarding exam.


Preferred qualifications: Proficiency in Microsoft Outlook, Word, Excel, and Access; ability to prepare mail merges; excellent organizational and time management skills; and the ability to use editing packages and PowerPoint.

Duties Description This position provides administrative support to the Administration and Probation Units within the Office of Program Development and Funding (OPDF). The Administrative Assistant’s duties will include, but will not be limited to, preparing formatting, and finalizing contracts; utilizing Grant Management System (GMS and Grants Gateway) to upload documents and emails as needed; preparing award notices, and emailing the notices to recipients; assisting with the daily operations of the units, and serving as backup for other units as needed; fielding and routing phone calls to the appropriate staff; submitting and tracking purchase and travel requests for the units; filing correspondence and general subject matter items; preparing and setting up meetings; and assisting, preparing, and managing correspondence, memos, reports, and other documents as needed.

Additional Comments Appointment is subject to Division of Budget waiver approval.
