Minimum Qualifications MINIMUM QUALIFICATIONS:
You must take and pass a Civil Service examination in order to be considered for this position. The examination that is used to fill this position is called the Beginning Office Assistant examination. There are no minimum education or experience requirements for this examination
Duties Description As an Office Assistant 1, you would perform entry-level clerical and office support work, including processing transactions and maintaining records, in a variety of organizational settings, to meet the requirements of agency programs. Examples of your duties may include: keeping records; retrieving and compiling information; performing basic arithmetic calculations; mail, supply, and inventory functions; some keyboarding and other document preparation tasks; answering telephones; completing forms; answering questions or otherwise assisting customers; or creating or assisting in the preparation of reports, charts, graphs, and tables.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Work with the OGS Business Services Center to ensure all DDSO obligations are paid accurately and timely
• Data Entry into Statewide Financial System to charge the appropriate district account for purchases made by staff using their state-issued VISA card and/or enter purchase requests or perform other necessary SFS related functions
• Review purchases made with VISA for appropriateness for NYS to pay
• Ensure VISA documentation received is timely and complete
• Review documents in the Business Service Center’s document storage “File Net/P2P” for routing to the appropriate staff
• Process VISA transactions for payments handled by the Accounts Payable Department
• Obtain vendor quotes as needed
• Candidates will be expected to demonstrate and will be evaluated against the following criteria:
• The ability to work independently with minimal supervision.
• The ability to present ideas clearly and effectively in the preparation of correspondence and reports and in dealing with people on the phone and in person.
• The ability to communicate effectively and efficiently with agency staff and outside agencies.
• The ability to effectively follow up on correspondence and phone calls when needed.
• The ability to demonstrate a working knowledge of computers, Windows XP, Microsoft Word, Excel, and agency computer systems.
• The ability to readily adapt to new assignments and changing priorities.
• Possess an acceptable attendance record and work record.
• Must be reachable on the current civil service list for Office Assistant 1.
