Minimum Qualifications Open to NYS employees with one year of permanent or contingent permanent status as a Program Aide or in a title designated appropriate for Section 70.1 transfer of the Civil Service Law. Candidates reachable on the eligible list for this title will be considered through a canvass and do not need to apply.

Duties Description This position is located in our Public Information & Correspondence Office

DUTIES:

•Input the bulk of daily correspondence (i.e. e-mails, letters, and petitions).
• Provide backup coverage for the Capitol main phone line, Correspondence’s line, and the Legislative Bureau’s line.
• Fill in at the front reception desk as necessary.
• Draft and proof-read form letters to constituents as requested by Director and Deputy Director of Correspondence
(i.e. thank you letters, referral letters, and scam letters).
• Prepare letters and certificates for Eagle Scouts/Girl Scouts.
• Perform complex searches of databases for requested correspondence, collaborating with the FOIL office and other
bureaus.
• Responsible for the oversight of large inputting and mailing projects. This includes the direction of staff, labeling envelopes, and the operation of office machinery.
• Provide assistance for special events including staff award ceremonies, the annual State of the State reception, and press conferences held in the Capitol.
• Prepare records for transmittal to long term storage (PAM) and for transfer to the State Archives.
• Prepare publication orders and input/update publication records in Access database.
• Create Pitney’s for publication orders sent via UPS.
• Monitor publication inventory levels and order additional stock when the supply is low.
• Perform administration of AG’s Triple C award dat
abase (i.e. proof-read, print, package and mail, Triple C certificates).
• Provide coverage for the Triple C phone line.
• Respond to inquiries about the Triple C program and receive correspondence.
• Perform other duties as assigned.
