Minimum Qualifications Interested candidates must be reachable on the Administrative Assistant 1 (Formerly Secretary 1) eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the applicant is not currently in a title that requires having passed a typing proficiency exam, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Duties Description The Litigation Bureau represent the State, its officers and agencies in state and federal courts in actions involving almost every substantive area of the law. The Bureau protects the public interest by defending constitutional challenges to state statutes, regulations, policies and practices and by bringing actions to enforce state laws and regulations.
DUTIES:
•Provide administrative and secretarial support to the Section Chief and Attorneys in the Litigation Bureau. This includes preparation of confidential materials and knowledge of Bureau and OAG protocols, procedures and resources.
•Update, maintain, and research computerized database of case files.
•Type and appropriately handle correspondence, memoranda, and legal documents for Section Chief and Attorneys.
•Proofread, review, and finalize correspondence and legal papers to ensure proper grammatical usage, clarity, factual correctness, compliance with policy, and conformance to instructions. Confirm that appropriate background material is attached.
•Distribute completed work product to appropriate attorney.
•Answer telephone, respond to questions concerning policy or procedures; refer calls to appropriate staff member.
•Gather data relevant to complex or unusual inquiries in order to provide a basis for reply and to insure all collected material is accurate.
•Schedule meetings, appointments, and interviews.
•Maintain calendars for depositions, trials and other appointments, as requested by attorneys.
•Make travel arrangements, process travel vouchers and purchase requests. Maintain all associated records.
•Prepare Tables of Content and Tables of Authority for legal memoranda.
•Copy, scan and assemble final legal papers.
•Access publicly available court records to obtain case status and documents.
•Perform other duties as assigned.
