Minimum Qualifications Permanent service in this title, or one year of permanent competitive service or 55-b/c service in a title SG-13 or higher and otherwise eligible for transfer under Section 70.1 of the Civil Service Law or reachable on the current Civil Service eligible list for this title.

Duties Description This incumbent will provide administrative support to the Director.

Specific duties of this position include, but are not limited to:

• Ensure telephone coverage throughout the workday and route inquiries to staff as appropriate.

• Sort all incoming mail on a daily basis.

• Coordinate meetings and maintain electronic calendar on a daily basis.

• Type, proofread and edit all correspondence for signature and approval of Director.

• Maintain agency databases and spreadsheets and maintain office and follow-up files.

• Prepare confidential and sensitive documents

• Determine matters of top priority and handle accordingly.

• Prepare agenda for meetings and take minutes.

• Plans events and volunteer activities.

• Coordinate Office Assistant’s work assignments

• Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records via SFS (as needed).

• Relay directives, instructions and assignment to management staff.

• Direct the general public to the appropriate staff member.

• Timekeeper for State Operations Management
