Minimum Qualifications PERMANENT OR CONTINGENT PERMANENT STATUS AS A LEGAL ASSISTANT 1 OR TRAINEE, OR ELIGIBLE FOR TRANSFER.

Duties Description • Identify organizations that are required to register and become familiar with the registration requirements applicable to charitable organizations.
• Become familiar with the laws applicable to not-for-profit and religious corporations that are required to seek the Attorney General’s approval before completing certain transactions.
• Access information concerning particular organizations within the Bureau’s database of registrants.
• Open files in NYMATTERS and up-date files with new information received and notes of interactions with organizations and attorneys concerning transactions being reviewed by Bureau attorneys.
• Receive, review, and analyze petitions received from not-for-profit and religious corporations seeking approvals of sales and other transactions, mergers, amendment of their certificates of incorporation and dissolutions.
• Identify documents and information that are needed to complete petitions submitted to the Bureau and advise petitioners on how to complete their petitions.
• Communicate with representatives of organizations and their attorneys by phone, email and mail.
• Compose letters and email messages to representative of organizations and their attorneys providing responses to their inquiries and advising them of documents and information missing from their petitions.
• Assist attorneys in preparing submissions to the court.
• Research entities that submit petitions to the office concerning issues raised by individuals who oppose transactions being reviewed by the Bureau.
• Summarize issues and concerns raised by petitioners or those who submit complaints concerning petitions, for review by Bureau Attorneys.
• Assist Bureau attorneys in revising and preparing educational information for the public.
• Issue ad hoc reports and spreadsheets as requested by Bureau staff (e.g., concerning particular entities, issues, types of transactions).
• Assist Attorneys in investigations by providing them with information concerning targets of their investigations.
• Open, sort, prioritize and distribute incoming mail and other communications.
• Prepare and send approval letters and documents to petitioner’s representatives and/or attorneys.
• Close files in NY Matters.
• File Documents via e-courts.
• Schedule meetings for staff attorneys, maintain central office calendar.
• Set priorities and manage deadlines in accordance with legal time frames until careful attention to detail.
• Must always conduct themselves in a professional manner with other staff and the public.
• Perform other duties as assigned.
