Minimum Qualifications Interested candidates must be reachable on the Secretary 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the applicant is not currently in a title that requires having passed a typing proficiency exam, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Duties Description DUTIES:
•Provide secretarial assistance to the Assistant Attorney General in Charge, AAGs and support staff.
•Assist in training support staff.
•Type all pleadings and other court documents and correspondence from transcriber and/or templates for AAGs.
•Assist in maintaining office records, including; calendaring return dates, answer dates, and court Conferences/hearing/trials; entering data and performing searches in NYMatters.
•Assist in resolving day-to-day operational problems as well as troubleshoot problems with all office equipment and handle service calls to vendors when needed.
•Answer phones and properly direct calls and assist in receptionist duties.
•Assist in opening and date stamping of all incoming mail, reviewing correspondence to determine its significance, and direct to proper staff.
•Make travel arrangements, schedule rental cars, court reporters, depositions, and prepare and process travel vouchers for reimbursement.
•Schedule office meetings and appointments, including video conferencing.
•Assist in the preparation and updating of reports as required by Deputy Attorney General for Regional Offices, such as weekly trial calendar, outreach spreadsheets, stats, as well as monitoring the office calendar for accuracy and completeness.
•Maintain closing of files on NYMatters and using PAM case management system for retrieval and return of archived case files.
•Serve as backup office LAN manager.
•Assist in coordinating videoconferencing and assist with video equipment.
•Perform any other duties as requested by the Assistant Attorney General in Charge of the regional office.
