Minimum Qualifications Reachable on current Civil Service eligible list used for filling this title; or, one year of permanent competitive class services as an Administrative Assistant 2; or, one year of permanent competitive class service in a title eligible for transfer under Section 70.1 of the Civil Service Law. Examples of eligible titles include, but are not limited to: Accountant Aide, Legal Assistant 1, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Program Aide. In addition, keyboarding proficiency is a minimum requirement of this position. If you have not previously held a keyboarding position, you must pass the New York State Department of Civil Service Typing Performance Test.
Duties Description Responsibilities include, but are not limited to:
• Provide direct support to Chief Financial Officer and Finance staff.
• Respond to phone calls and coordinate information flow by acting as liaison among executives and staff to ensure adequate phone coverage and administrative support.
• Establishment of office procedures and implementation of policies.
• Maintains scheduling, event calendars, and sets up appointments as needed.
• Coordinates conferences and makes travel arrangements for staff.
• Composes and distributes correspondence and reports.
• Reviews work done by others to check for correct spelling, proper grammar, and ensures that office format polices are followed.
The hours are Monday thru Friday from 9:00 am to 5:00 pm. NYSIF is seeking candidates with the ability to work independently and be highly-motivated. Candidates are expected to stay focused and carry out their tasks in a timely and accurate manner, be detail-oriented, dependable, and trustworthy since they come in contact with complex and sensitive documents.
