*Note: Appointment may be made at a traineeship level. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Preferred Qualifications: The preferred candidate must be able to handle multiple priorities in a fast-paced office environment; ability to work with a diverse group of professionals; have strong organizational and communication skills (written and verbal), strong attention to detail, and a desire to contribute to a team-oriented workplace; ability to prioritize multiple assignments; some knowledge of public health programs, federal and state regulations. The preferred candidate will also have a high level of competence using the following computer programs: Microsoft Office Suite including Word, Excel, Power Point and Access; Adobe Pro, 0365 and Share Point. Knowledge of office administration; proper grammar, punctuation, spelling and business communications.

Duties Description The Administrative Assistant 1 will provide key secretarial and administrative support to the Metropolitan Area Regional Office (MARO), OPCHSM/LTCP Nursing Home Surveillance. The incumbent will also be one of primary contact in phone and mail communications with LTC Agencies and Providers; coordinate information flow by acting as liaison among key managers and staff ensuring seamless delivery of information. Administrative support includes, but not limited to scheduling all meetings and maintain the meeting calendars for several members of the management team and prepare meeting materials. Responsible for handling and tracking all correspondence for the MARO AOD (Area Office Director), and management team; maintain office filing systems (including electronic), scan confidential documents, as well as handle all administrative tasks that support the functioning of the office (telephone coverage, faxing, emailing, etc.); create, update and maintain various databases and spreadsheets as needed for the AOD and management team; respond to phone calls; sort and distribute mail in a timely manner; organize, expedite and follow up on projects; track, process and provide material for FOIL and subpoena requests.

Additional Comments Permanent or provisional promotion, full-time appointment. Appointment will require passing score on keyboarding exam and *required trainings if not previously completed successfully. Candidates appointed provisionally will be required to pass a qualifying Civil Service exam and be reachable for appointment on the resulting eligible list. ***If three or fewer NYS DOH promotional candidates respond to this notice, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under the provisions of Section 52.7 of the Civil Service Law. Employees must have one year or more of permanent or contingent-permanent, competitive service as listed above. In addition, the agency, also at its discretion, has the option under Section 52.7 of the Civil Service Law to consider only candidates qualifying under promotion described above. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title. Plus additional $3,026 downstate adjustment.
