Duties Description Under the direction of multiple Deputy Commissioners, the incumbent will perform a multitude of administrative tasks including, but not limited to:
• Preparing, generating, and delivering various reports.
• Setting up and maintaining both paper and electronic files ensuring information is kept secure and confidential.
• Reviewing incoming correspondence, making recommendations for appropriate handling, and referring to other staff persons for reply if necessary.
• Ordering and tracking office supplies and maintaining a record of purchases. Communicating with vendors and contractors related to purchases, as necessary.
• Preparing meeting agendas and coordinating background materials for conferences or events. Attending meetings and conferences as necessary and providing summaries.
• Collaborating in the development, enhancement, and design of department processes, procedures, and documents.
• Recommending or implementing changes to administrative documents and updating office procedures as necessary.
• Communicating via the telephone, email, and in-person, including responding to various inquiries concerning policies and procedures.
• Gathering data and information for special projects.
• Adhere to the department's time and attendance rules and regulations.
