Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.* *Note: Appointment may be made at a traineeship level. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Preferred Qualifications: Experience reviewing applications; ability to analyze information; excellent written and verbal
communication skills; strong organizational skills and able to prioritize multiple assignments and to work cooperatively in a team based setting; the ability to use Microsoft Word and Excel
applications and other database applications and resources. The applicant should be able to work independently and be able to handle multiple assignments. In addition, an applicant should possess good organizational skills and be able to work cooperatively in a team-based environment. Excellent oral and written communication skills. Proficiency in a range of digital tools, for example, Microsoft Excel, Adobe Acrobat, Outlook, Teams, or other calendaring tools.

Duties Description Duties include (1) answering telephone and giving information to callers, taking messages, and transferring calls to appropriate individuals; (2) greets visitors or callers and handles their inquiries; or directs them to the appropriate persons (3) opens, reads, routes, and distributes incoming mail or other materials; (4) sets up and manages paper and electronic filing systems; (5) uses various information technology applications such as email, database, and word processing; (6) operates office equipment such as printers, scanners, and copiers; and arranges for repairs when equipment malfunctions; (7) creates, maintains, and enters information into databases; (8) completes forms in accordance with agency procedures; (9) makes copies of various documents, places them in proper files, and distributes them to appropriate staff; (10) locates and attaches appropriate files to incoming correspondence requiring replies (11) composes, types, and distributes meeting notes, correspondence, and reports; (12) provides services to customers, such as order placement or account information; (13) reviews work done by others to check for correct spelling and proper grammar, ensures that office format policies are followed, and recommends revisions; (14) searches for information using such sources as the internet; (15) manages projects or contributes to committee or team work; (16) mails various items including letters, reports, and promotional materials; and prepares packages and arranges for them to be shipped; (17) orders and distributes supplies; (18) establishes work procedures or schedules and keeps track of the daily work of clerical staff; (19) may supervise other clerical staff and provide training and orientation to new staff.
