Minimum Qualifications •Two years of experience providing administrative support.

•Knowledge of Microsoft Office Suite, SLMS, and general database entry desired.

•Excellent writing, interpersonal, organizational, and customer service skills.

•Able to work alone and as part of a team.

•Ability to organize and prioritize work.

•A satisfactory equivalent combination of appropriate experience and education as determined by the Governor’s Office of Employee Relations.

Duties Description Under the general supervision of the Employee Program Assistant (Disciplinary Panel Administrator), the Administrative Assistant will provide clerical support for the administration of the State/CSEA Article 33 and Article 33.5 collective bargaining appeal process. Duties include, but are not limited to:

•Log in Article 33 disciplinary grievance appeals and establish a file for each case in data base system.

•Log in Article 33.5 Time and Attendance Notices of Discipline in data base system.

•Generate files for both Articles 33 & 33.5 cases.

•Consult existing schedules of arbitrators and set up date of hearing for Articles 33 and 33.5.

•Process notifications of hearing dates to arbitrators, union representatives, appellants, and State agency labor relations/personnel offices.

•Generate hearing notices for review by Disciplinary Panel Administrator and Time & Attendance Administrator.

•Distribute case files and hearing notices to arbitrators, State and CSEA Representatives timely for adequate review.

•Answer telephone and email inquiries from appellants, union representatives and State agency management as to the status of grievances appeals and the scheduling of hearings.

•Assist in the monitoring of cases to ensure that time frames required by the CSEA contracts for hearings and decisions are being met. Notify Disciplinary Panel Administrator of tardy hearing decisions for corrective action.

•Produce notices of hearing decisions and send to appellants, union representatives, and State agency labor relations/personnel offices for Article 33 and 33.5 cases.

•Track billing by arbitrators & umpires and assemble all relevant documentation for review by Disciplinary Panel Administrator and Time & Attendance Administrator.

•Maintain electronic and paper files for pending cases, case decisions, correspondence, and financial records.

•Receive, review and process incoming correspondence.

•Assemble relevant data and attach it to correspondence before forwarding to Disciplinary Panel Administrator and Time and Attendance Administrator.

•Prepare responses to routine correspondence.

•Maintain all Disciplinary Panel Administration Unit files, including annual archiving of Article 33 and 33.5 case files.

•Open, review, sort and distribute incoming mail and post all outgoing mail.

•Maintain office supply cabinet and order supplies in accordance with agency requisition regulations.

•Prepare purchase orders and vouchers as directed by Disciplinary Panel Administrator.
