Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.
Candidates must have permanent status as an Office Assistant 2 (Calculations), Grade 9, and be eligible for lateral transfer, OR be eligible for transfer via 70.1 of the Civil Service Law.
Provisional Opportunity: In the event that there is not a valid eligible list, candidates who meet the following promotion qualifications may be qualified for a provisional appointment:
Candidates must have one year of permanent competitive or 55-b/c service in an office assistant, clerical, or keyboarding title allocated to Grade 5 or higher.
If you are provisionally appointed, you must take the next scheduled Civil Service examination for this title and your score must be reachable on the resulting eligible list before you can be permanently appointed. If you do not pass the examination or achieve a reachable score, you may not be retained.
Duties Description The Office of Mental Health (OMH) is recruiting to fill multiple Office Assistant 2 (Calculations), G-9, positions in the Office of Financial Management, Consolidated Business Office Operations Unit. The Consolidated Business Office's (CBO) Operations Unit processes invoices/vouchers annually for OMH's Central Office and all of its facilities.
Specific duties may include, but are not limited to, the following:
Create, organize and maintain paper and electronic files including the scanning/faxing and photocopying of documents.
Prepare and process vouchering transactions. This requires mathematical calculations and knowledge of the program area, and entry into the Client Worker Payroll System (aka Bulkload) and/or Statewide Financial System (SFS).
Coordinate and review voucher adjustments and payment transactions for OMH facilities.
Serve as liaison by communicating with vendors, facility staff, and the Office of the State Comptroller (OSC) via phone, mail and email.
Review and process checks, deposits, reimbursements and General Ledger Journal transactions for OMH facilities when necessary.
Perform miscellaneous duties in support of the CBO mission as assigned.
Additional Comments The Consolidated Business Office is conveniently located in independent offices on the grounds of the Capital District PC at 75 New Scotland Avenue, Albany, New York. Guaranteed covered parking with exclusive employee entrance to office areas is available for $5/month.
Specific scheduled hours and telecommuting availability for this position will be discussed during the interview process. Please note, employees are required to apply and obtain approval through management to telecommute according to operational needs and Agency Telecommuting Program Guidelines.
Appointment to this position is contingent upon Division of Budget approval to fill.
