Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*

Preferred Qualification: Experience with office administrative support and customer service. Experience using Microsoft Office Suite, Microsoft Outlook, SharePoint, MS Teams, WebEx and Zoom. 

Duties Description The incumbent will be responsible for providing a wide range of administrative tasks related to the day-to-day operational needs of the Bureau. The duties of this position include, but are not limited to, the following:
-Answer and refer telephone calls to appropriate staff, including covering phones for Division of Chronic Disease Prevention programs as needed.
-Assist with scheduling meetings, both virtual and in person, using technology such as WebEx, Zoom, and Microsoft Teams.
-Maintain office calendar.
-As directed, support executive correspondence approval process.
-Operate office equipment such as printers, scanners, and copiers, arranging for repairs as needed.
-Maintain electronic file storage.
-Update tracking systems, data entry, distribute incoming mail, serve as a member of the Division-wide administrative workgroup.
-Provide administrative support to Division Administration Unit as needed.
-Support travel arrangements and process travel expense reports. Assist staff with travel questions.
-Monitor and order office supplies as needed.

Additional Comments Permanent, competitive full-time. Transfer candidates may be asked for SSN to verify title history and eligibility. Transfer candidates in certain titles will also be required to successfully pass a keyborading test in order to qualify for appointment. Occasional travel, including overnights and travel to areas that may not be served by public transportation is required (5%). *Note: Appointment may be made at a traineeship level. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.
