Minimum Qualifications Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Administrative Assistant 2 or Secretary 2, OR a NYS employee with one year or more of permanent or contingent-permanent, competitive service in a position allocated to a Salary Grade 13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

Preferred Qualifications: Experience with high-level office administration, development and management of policies, procedures and tracking systems. Experience with direct and indirect supervision of administrative staff. Strong computer skills and ability to use those skills to lead the improvement of office-wide processes. Excellent interpersonal and communication skills with strong attention to detail and the ability to independently manage and track projects. Experience using Microsoft Office Suite, Microsoft Outlook, SharePoint, Power Automate, MS Teams or strong computer skills paired with the ability and enthusiasm to learn. Experience using WebEx and Zoom.

Duties Description Provide high level administrative leadership and support to the Division Office with a focus on personnel management, confidential personnel transactions, recruitments, travel, developing and implementing Division-wide office procedures and tracking systems and working with a team to identify creative solutions to achieve Division-wide efficiencies.
Duties include:
•Oversee Division-wide administrative functions spanning the Division Office, multiple Bureaus and Units.
•Provide high-level, confidential, administrative support for personnel transactions and recruitments.
•Identify opportunities to create workflow efficiencies and coordinate teams to implement new and creative ways to improve workflow in the Division and Bureau Offices.
•Create fillable forms and automated processes for administrative functions.
•Serve as Chair of the Division-wide Administrative Workgroup, a team that is responsible for developing and implementing policy and procedures.
•Responsible for state and p-card purchases and preparing expense reports.
•Oversee the updating, creation and file management of organizational charts, personnel rosters, staffing spreadsheets, and personnel databases.
•Assist with the coordination, processing and tracking of executive correspondence, requests, and documents requiring Executive Deputy Commissioner Clearance approval.
•Assist with the oversight and review of travel requests and travel reimbursement inclusive of SFS functions.
Provide high level administrative support to the Grant Administration Unit and the Policy and Research Translation Unit within the Division of Chronic Disease Prevention’s Administration Unit.
•Assist the Bureau of Tobacco Control with administrative duties and other duties as assigned.
