Candidates must have one year of permanent competitive or 55-b/c status in the Senior Administrative Analyst title and be eligible for lateral transfer; OR be eligible to transfer via Section 701, 70.4 or 52.6 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
Duties Description Oversee the correspondence response process by handling intake of email and letters and assign for response to the correct area of the agency. Continuously review and improve responses, determining when templates need to be created based on frequency of intake. Provide reports on correspondence to Communications Director and Leadership as needed.
· Research, secure and implement a new correspondence tracking system for the agency.
· Revise the scripting for the Health and Human Services Call Center (the OPWDD Information Line) and manage the process, ensuring all new scripts or notifications are provided in a timely manner. Act as point person for all Level 2 calls that require special handling.
· Implement procedures for new project requests and track Communications Team projects.
· Effectively and professionally answer and track all media inquiries and other phone calls received in the Communication's office, implementing an effective tracking system.
· Schedule and organize meetings, conference calls, and video conferencing on behalf of the Communication's Office. This process includes securing conference rooms and video conference capabilities, collection of and forwarding of needed meeting materials, and obtaining transportation and travel logistics.
· Maintain logs and data systems of various information relative to day-to-day operations of the office; including but not limited to photo consent and releases, media clippings
· Prepare necessary travel vouchers, purchase requisitions, etc.
Manage multiple email accounts, including Info, Communications, Web Requests, and others as needed.
· Maintain agency calendar of events and Communications calendar.
· Ensure timely reporting to Governor's office on bi-weekly and PR/RFP reports.
· Perform other office duties as required.
