Duties Description The Program Aide supports staff working throughout the Statewide Services unit and staff working within the Division of Service Delivery by providing program support to the division Director of Statewide Services and bureaus functioning under that title including Bureau of Nursing and Health Services, Bureau of Behavioral Services, Bureau of Assessment Oversight and Coordination and the Bureau of Intensive Treatment Services and the Bureau of Statewide Clinical Programs.

Duties include but are not limited to:

• Provide administrative support to the Director of Statewide Services and/or Deputy Director of Statewide Services and other department heads within the division. Complete clerical tasks for eligibility leaders and Committees.

• Provide Program support to clinicians and agency administrators who develop and/or disseminate guidance documents and memorandums related to service delivery.

• Arrange gate passes so that individuals visiting supervised facilities are transported safely and efficiently to an OPWDD setting.

• Support each Bureau’s staff, monitor and track third step processes and ensure they are responded to in a timely manner.

• Organize information from individual’s records through a database to ensure documentation is available for clinicians to efficiently review.

• Support research activities and extensive scheduling of activities and staff at executive leadership levels.

• Support the electronic health record team in creating/modifying offline forms, modifying user
access/termination/privacy forms based on policy/procedures/regulations, participate in the EHR document review committee, complete manual data pushes from TABS to EHR, assist with/evaluate the newly created permanent EHR administrator schedule, collect, tabulate and analyze EHR data, generate reports from data analyzed.

• Perform general administrative functions (answering phones, filing, correspondence, maintain calendars, order supplies).

• Complete SFS travel expense reports; create and approve on behalf of supervisors as well as assist in arranging travel.

• Create informational brochures and operational policy manual documents for the Extended Treatment Unit (ETU).

• Construct graphs for analysis from Statewide Restrictive Intervention Application (RIA) data.

• Process Certificate of Need (CON) letters.

• Train support staff.

• Complete other tasks, assignments, and participate in workgroups as requested by supervisor in support of the division’s tasks and functions.
