Minimum Qualifications Administrative Assistant:
Candidates must be a current New York State employee reachable on the Secretary 1 eligible list.
Transfer:
Candidates must have one year permanent competitive service as an Administrative Assistant 1 or Secretary 1 and be eligible for lateral transfer under Section 70.1 of the Civil Service Law.
OR
Candidates must have one year of permanent competitive or 55b/c service in a title SG 09 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory and elective coursework.**
Administrative Assistant Trainee 1:
Transfer: Candidates must have one year of permanent competitive or 55 b/c service in a title SG-06 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.**
Administrative Assistant Trainee 2:
Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-08 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory coursework.**

Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:

Duties include but are not limited to:

1. Provide administrative support to the Family Care Coordinator and Family Care Team.
2. Answer telephone calls respond to questions and refer calls to appropriate team members.
3. Complete Family Care Monthly Residential Habilitation Billing and enter Medicaid Travel Reimbursement in TABS. Report any errors to the appropriate Family Care Home Liaison (FCHL) and Assistant Family Care Coordinator (AFCC).
4. Maintain Movements/Transfers/Discharges in TABS.
5. Ensure all Purchase Requisitions are sent to Business Office for processing once reviewed and approved by FCC/AFCC and maintain folder in G Drive.
6. Maintain Family Care Provider/Substitute Provider Training Data Base.
7. Maintain Annual Fire Safety Inspections and Corrective Action Plans in G Drive.
8. Maintain files and organize paper flow in office.

9. Monitor and track program status relative to (Re)certifications for both State Operations and Agency Sponsored FC homes.
10. Track all incidents from the onset and through closure and ensure confidentiality.
11. Distribute mail to team members ongoing and assemble mass mailings when required.
12. Schedule meetings and maintain calendar.
13. Review outgoing correspondence for proper grammatical usage, clarity, and factual correctness, compliance with policy, program information and conformance to instructions.
14. Maintain archive files and purging archive information for team members.
15. Order office supplies as needed.
16. Other duties as assigned.

Qualifications: Candidates should have computer skills in Microsoft Word, Excel, and PowerPoint and demonstrate good work performance including Time and Attendance.
