Preferred Question: Experience with organizing calendars in Outlook, triaging phone calls for multiple units or bureaus, proficiency in Microsoft Office Suite applications including Word, Excel, Power Point and Access, knowledge of office administration, proper business communications, and experience with State purchasing and travel guidelines.

Duties Description The Administrative Assistant 1 (AA 1) will provide administrative support to the Bureau of Child Health (BCH), within the Division of Family Health (DFH). Responsibilities include but are not limited to: triage incoming phone calls; respond to phone inquiries; triage daily mail; manage program mailings; send and respond to emails via various shared mail boxes; schedule meetings and conference calls (virtual and in-person); maintain staff calendars; arrange travel (when COVID restrictions ease); and maintain electronic tracking systems and program files. This position will also handle routine office accounts and purchasing, act as the Bureau liaison for Division-wide administrative meetings, assist with recruitments as needed, provide phone coverage for other Division bureaus as needed, and assist in data entry of program reports as needed.

Additional Comments Permanent, competitive full-time. Transfer candidates may be asked for SSN to verify title history and eligibility. Transfer candidates in certain titles will also be required to successfully pass a keyborading test in order to qualify for appointment. *Note: Appointment may be made at a traineeship level. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $35,528 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11. If three or fewer NYS DOH promotional candidates respond to this posting, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under under the provisions of Section 52.7 of the NYS Civil Service Law. Employees must have one year or more of permanent or contingent-permanent service as described above. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title. Candidates being considered under this provision must not have either failed to pass, or failed to apply for (if qualified), the last holding of the Secretary 1 (G11) examination, #37-923, held on March 3, 2018.
