Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service Secretary 1 eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law. To be appointed, candidates are required to pass a typing test.

Duties Description NYMTC seeks an Administrative Assistant 1/Trainee to support the Fiscal Management Section of the Administration Group.

The incumbent of this position would perform critical administrative tasks to support NYMTC’s nearly $14 million worth of contracts and the $40 million annual Unified Planning Work Program. Duties will involve working with confidential information, and may include, but are not limited to:

• Assist NYMTC staff with gathering, compiling, and preparing information for reports, publications, records, or other external or internal communications;
• Prepare, copy edit, proofread and format documents and reports using available software packages. Develop templates and compile documents in standard format;
• Implement procedures related to contracts, grant solicitations and annual work programs. Establish/maintain efficient workflows;
• Develop, manage, and maintain databases. Maintain procurement record information;
• Coordinate and schedule meetings;
• Prepare meeting minutes for technical evaluation committee meetings and other meetings;
• Provide information and assistance on administrative matters to NYMTC project managers as requested;
• Perform other tasks as required by NYMTC management.
Strong written and oral communication skills are required. A good working knowledge of Microsoft Office including Word, PowerPoint and Excel are required to perform the duties for this position. Experience with Access, or other database programs, is highly desirable.
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

ADMINISTRATIVE ASSISTANT TRAINEESHIP-COURSEWORK REQUIREMENT

Trainees will be required to take eight courses, four mandatory and four electives, in the following administrative support competencies:

1. Computer Skills and Technology
2. Interpersonal and Customer Relations
3. Professionalism and Self-Management
4. Verbal and Written Communication

Trainees will be able to take these competencies through The NYS & CSEA Partnership, either through classroom or online training and webinars, or equivalent offering through another entity as determined by the Agency.
The following four administrative support core courses are mandatory and should be completed before advancement or appointment to Administrative Assistant Trainee 2:

• Microsoft Word Basics
• Customer Service
• Organized Office Worker
• Successful Business Writing

Failure to complete the required Traineeship-Coursework Requirements prior to completion of the traineeship will result in a termination from the position.

Additional Comments All State employees in Executive controlled agencies, who are not subject to a mandatory vaccination requirement shall be tested for COVID-19 weekly unless they are fully vaccinated.
