Minimum Qualifications • Current or previous one-year permanent service as an Office Assistant 3 (Calculations), OR
• One year current or previous permanent service in a designated clerical series title within two salary grades, per the 70.1 transfer plan, OR
• Reachable on the Civil Service list for this title.

Duties Description Office Assistant 3 – Cost and Fiscal Management Services Accounts Payable/Purchasing
1. Perform account clerical tasks for programs in which there are a large number and variety of transactions, verifications, checks, and computations, and where the written procedures are changed frequently.
a. These activities may include creating spreadsheets, using calculators, and other means of performing calculations. These activities also may include entering information into, offering basic interpretations of information within, or retrieving information from various computer databases, including the New York Statewide Financial System and/or similar computer database software package. The positions’ duties may incorporate, but are not limited to, financial (including record-keeping, bookkeeping, and reconciliation activities), purchasing, or statistical functions.
2. Review unit or departmental financial forms for conformance with approved spending.
a. Review Purchase Requestions submitted by LIDDSO Staff.
b. Sources suppliers as per NYS regulations and process purchase orders accordingly.
c. Input requisition and/or contract purchase orders when necessary.
d. Track and provide fiscal and administrative oversight of all contracts.
3. Review unit or departmental financial forms for conformance with approved spending.
e. Review supplier invoices via SFS for proof of product received by requestor, appropriate charges, description as per requisition.
f. Input transactional codes for accounts payable transactions including payment vouchers and procurement card reconciliations.
g. Review Procurement Card reconciliation transactions for appropriate accounting codes.
h. Review NY Procurement Card expense logs per cardholder for conformance with established policies.
4. Second level supervision of a clerical unit.
a. Approve time & attendance records of subordinate staff.
b. Follow-up with subordinate staff to ensure completion of assigned tasks including completion of mandatory training
c. Ensure that mandatory employee trainings are complete and current.
5. Complete assigned tasks and directives as provided by office managers. Completes required tasks by given deadline.

NY Statewide Financial System, MS Office 365, other applicable software programs.
