Duties Description The Program Aide will primarily support the Bureau of Intensive Treatment Services (BITS) within the Division of Service Delivery. The role will be responsible for providing program support to the Bureau Director. The Program Aide job duties relate to essential operations and the core mission of OPWDD and the Division of Service Delivery. Examples of tasks that the Program Aide complete which directly impact the well-being of individuals are: complete clerical tasks for Statewide Admissions and Statewide Forensic Advisory Committees, provide program support to clinicians and agency administrators who develop and/or disseminate guidance documents and memorandums related to service delivery, arrange gate passes for individuals in forensic facilities to be transported safely and efficiently to OPWDD settings, support BITS and Family Care staff, monitor and track court orders to ensure they are responded to in a timely manner, and organize information from individual’s records, In this position the program aide may use both database and an electronic health record to store documentation that will be available for clinicians to efficiently review. The Program Aide is also responsible for coordinating and scheduling both in person and remote meetings and should be familiar with WebEx, Microsoft Teams and Zoom platforms. The program aide tasks will be used to support BITS and various bureaus within the division, and some tasks will be shared among support staff.

This is a unique position to the Division of Service Delivery and primary responsibilities fall under the Bureau of Intensive Treatment Services (BITS). This position will also be responsive to division priorities and so may complete assignments as needed by other bureaus or directors within the Division of Service Delivery. There is an expectation of coordination with other support staff within the division to assure unit operations are maintained.

Duties include but are not limited to:

- Provide Program support to clinicians and agency administrators who develop and/or disseminate guidance documents and memorandums related to service delivery.

- Organize information from individual’s records through a database to ensure documentation is available for clinicians to efficiently review.

- Complete SFS travel expense reports; create and approve on behalf of supervisors as well as assist in arranging travel.

- Perform general administrative functions (answering phones, filing, correspondence, maintain calendars, order supplies, onboarding of new staff).

- Support research activities and extensive scheduling of activities and staff at executive leadership levels.

- Complete other tasks, assignments, and participate in work groups as requested by supervisor in support of the division’s tasks and functions. The Program Aide supports staff working throughout the Statewide Services unit and staff working within the Division of Service Delivery by providing program support to the division Director of Statewide Services and bureaus functioning under that title including Bureau of Nursing and Health Services, Bureau of Behavioral Services, Bureau of Assessment Oversight and Coordination and the Bureau of Intensive Treatment Services and the Bureau of Statewide Clinical Programs.

- Train other support staff as needed.

- Complete other tasks, assignments, and participate in workgroups as requested by supervisor in support of the division’s tasks and functions.
