Minimum Qualifications Permanent Transfer Candidates: Current New York State employee with one or more years of permanent or contingent-permanent service as an Office Assistant 2, Grade 9, or one or more years of permanent or contingent-permanent service in a title at or above the Grade 7 level, and eligible for transfer under Section 70.1 of the Civil Service Law.

Provisional Promotion: New York State Department of Health employee with one year or more of permanent or contingent-permanent, competitive status in an office assistant, clerical, or keyboarding title allocated to Grade 5 or higher. Preferred Qualifications: Proficiency in verbal and written communication skills including but not limited to the ability to effectively communicate with internal and external customers. Proficient in use of MS Office Suite. Familiarity with Statewide Financial System (SFS). Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service. Must be able to work independently and in groups to carry out assignments to completion within parameters provided while meeting deadlines and prioritizing tasks as assigned.
Duties Description The Office Assistant 2 position will provide clerical support for the Bureau of Emergency Medical Services and Trauma Systems (BEMSATS) Administrative Unit . Duties will include: filing, typing, data entry, answering phones, preparing vouchers for payment and collecting fees. The incumbent will be responsible for: processing transactions in the Statewide Financial System (SFS) and maintaining records and files for the Bureau; organizing, processing and maintaining EMT and Paramedic course reimbursement vouchers and submitting them for approval to pay; responding to customer requests for information and researching issues through the use of the Bureau's database system; performing the receiving function in (SFS) for Bureau purchases. Additionally, this position assists the Bureau with contract management tasks such as communicating and following up with vendors to collect required contract documentation; creating grant voucher payments in SFS and entering vouchers for approvals; filing contract supporting documentation; maintaining main contract Bureau Management Log (BML); filing correspondence appropriately; resolving complaints and problems; maintaining compliance with all NYS DOH and BEMSATS policies and procedures; working directly with other Bureau staff and management and performing related duties as assigned by the supervisor.

If three or fewer New York State Department of Health promotional candidates respond to this notice, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under the provisions of Section 52.7 of the Civil Service Law. Employees must have one year or more of permanent or contingent-permanent, competitive service in qualifying title such as Office Assistant 1 and parenthetics.
