Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.* *Note: Appointment may be made at a traineeship level. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11. *Passing score on typing test is required before a job offer to this title can be approved.

Preferred Qualifications: Experience providing professional administrative support within an administrative organization. Strong organizational skills; excellent communication skills; high proficiency with Microsoft Outlook, Teams, SharePoint, Word, and Excel; professional experience generating, editing, routing, and proofreading of documents and correspondence; organizing shared drives; experience providing support to executive staff; demonstrated ability to coordinate executive schedules and work with internal and external support staff to schedule/facilitate meetings/conferences with multiple internal and external parties; experience managing office supply inventory, including ordering of supplies from various vendors; experience making travel arrangement using NYS systems and vendors.

Duties Description The Administrative Assistant will provide a full range of administrative support to professional and executive staff within the Office of Quality and Patient Safety’s Division of Health Data Innovation. Duties include performing and overseeing the: maintaining office scheduling and event calendars; coordinating conferences and meetings, including with executive staff from multiple state agencies and/or from private industry; handling all incoming and outgoing mail/correspondence in the BMLs, electronic or hard copy; setting up and maintaining filing and tracking systems for both regular and confidential electronic/hard copy correspondence, documents, records and other materials; developing procedures for coordinating and tracking assignments; creating, maintaining and updating office procedural manuals; operating office equipment such as copiers, scanners and phones; managing an inventory of office supplies including making orders as needed; and other administrative duties as assigned.
