Minimum Qualifications Current NYS employee with one (1) year or more of permanent or contingent-permanent, competitive service as a Administrative Assistant 1, OR a NYS employee with one (1) year or more of permanent or contingent-permanent, competitive service in a position allocated to a salary grade 9 or above and eligible for transfer under Section 70.1 of the Civil Service Law. Candidates not currently serving in a keyboarding title will be required to take and pass a keyboarding examination to qualify for appointment.
Preferred Qualifications: •Experience using the full suite of Microsoft Office, especially PowerPoint, Word, and Excel
•Experience and ability to compile and analyze data
•Ability to record accurate and organized meeting minutes
•Working knowledge of State and Department of Health processes and procedures to order and manage office supplies, manage executive correspondence, and manage mail
•Ability to schedule clear meetings using Outlook meeting invites with appropriate call-in information
•Proactive attitude and strong motivation to support the functions of the office and work in a team setting
•Knowledge and experience in submitting travel reimbursement
Duties Description The Administrative Assistant 1 will provide administrative support for Health Facilities Management (HFM). Responsibilities may include coordinating and arranging meetings; transmitting instructions to staff and following up; handling telephone calls and visitors and responding to questions; typing, proofreading, reviewing and correcting correspondence, documents, records and other written material; preparing routine reports; designing, setting up and maintaining files (including electronic) of correspondence/documents, records and materials pursuant to guidelines; handling and routing confidential documents in accordance with the appropriate policies and procedures; monitoring various calendars and email inboxes; data entry into various tracking databases; providing additional organizational and administrative support for HFM senior management; and other administrative tasks necessary to support the work of HFM.
