Minimum Qualifications Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1 .
OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.* A passing score on a typing test is required before a job offer to this title can be approved.
OR: If three or fewer NYS DOH promotional candidates respond to this posting, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under the provisions of Section 52.7 of the NYS Civil Service Law. Employees must have one year or more of permanent or contingent-permanent service as described above. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title. Candidates being considered under this provision must not have either failed to pass, or failed to apply for (if qualified), the last holding of the Secretary 1 (G11) examination, #37-923, held on March 3, 2018.
Duties Description The position will be located in the Program Communication and Collaboration Section of the Bureau of Supplemental Foods Programs and will provide support to section staff. The position will serve as a liaison with bureau and division administrative professionals to provide adequate coverage and ensure consistent, high quality, support for program activities. The incumbent of this position will be responsible for assembling and formatting correspondence; researching background information; establishing administrative procedures; developing, implementing, and maintaining electronic filing systems; producing correspondence, reports, presentations, and other section documents; taking and distributing meeting minutes; developing and maintaining tracking systems for various work streams; and triaging and tracking requests and calls from various parties. The selected incumbent will also assist with coordinating bureau documents for annual state plan submissions, and may assist with personnel management tasks, including maintaining and preparing organization charts, distribution lists, and recruitment packets. Other duties will include monitoring email and calendars, supervising an Office Assistant 1, scheduling meetings, preparing meeting materials, coordinating travel, scanning confidential documents, and providing support for the main telephone lines
Additional Comments *Appointment may be made at a trainee level. A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect. If placed at a trainee level, trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, Grade 11.
