Minimum Qualifications Candidates must be reachable on the Program Aide eligible list or eligible for transfer.

Duties Description This position is a key member of the Planning and Analysis Bureau within the Division of Environmental Stewardship and Planning. The incumbent will organize and coordinate office activities, type a variety of material, proofread and edit letters and large documents for public distribution, direct incoming calls, review incoming correspondence and distribute to appropriate staff and program areas, create and maintain large mailing lists, maintain electronic and traditional files, arrange travel for Bureau staff and serve as proxy for processing travel expenses, maintain field, office, and specialty printer supplies, track Bureau expenditures, provide evaluation of contracts and financial documents and make recommendations, update databases, spreadsheets and reports maintained by Bureau programs and track grant program expenditures and payments.

Additional Comments Familiar with the State Financial System (SFS) program, state purchasing, and travel requirements.

Familiar with grants-in-aid, and or managing grants received.

Proficiency with Microsoft Office Suite (Word, Excel, Power Point, Access)

Understands Microsoft Access and can create queries, tables and run reports.

Proficiency with desktop publishing software, such as Microsoft Publisher, Adobe Creative Suite applications (InDesign, Acrobat, Photo Shop, and Illustrator)

Possess excellent oral and written communication skills

Possess excellent organizational and time management skills

Can evaluate and improve on forms, processes, and operating procedures used within the Bureau to increase efficiency and production.
