Job Specifics

Duties Description • Maintains computerized work order system. Includes entry of data, processing work order requests, developing reports, and review of same with notification to supervisors as necessary when problems are noted.
• Develops and maintains detailed records related to construction and maintenance activities such as maintaining data both in hard copy and electronic formats in properties within the District.
• Develops and maintains environmental information such as, but not limited to, asbestos records pertaining to construction and maintenance activities.
• Maintains record systems for tracking of critical safety and health related issues such as noted citations from agencies providing oversight such as OFPC, DOH, DQI, and others.
• Maintain training records for maintenance staff.
• Assists in assembling bid packages and contract documents for submission to Business Office for necessary maintenance and construction services.
• Type correspondence in final or draft form for Plant Superintendent and other Maintenance Supervisors as necessary and directed.
• Assists Supervisors in time and accrual processing.
• Takes meeting minutes, types, and distributes.
• Prepares purchase requests, places orders, tracks packages & receive deliveries in warehouse.
• Schedules appointments for the Plant Superintendent and performs other general receptionist duties.
• Communicates with others in a professional manner in regards to activities of the work unit.
• Other duties associated with this job title as assigned.

Minimum Qualifications • Candidates must be reachable on the current Civil Service List for Office Assistant 1
• OR current or previous permanent service as an Office Assistant 1
• OR currently permanent in a title eligible for 70.1 transfer per Civil Service Rules & Regulations

Additional Comments This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title.

At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.

• If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee.

• For CSEA positions: Local Bidding Agreements will be honored.

• Preference will be given to OPWDD employees impacted by closures. If you are being impacted by closure, please indicate this on your resume.

• All OPWDD employees must be eligible and maintain eligibility for full and unconditional participation in the Medicare and Medicaid programs. Continued employment will depend on maintaining eligibility.
