Job Specifics

Duties Description The Office Assistant 2 assigned to Field Command - BCI will be responsible for assisting the Trooper Applicant Unit, Executive Support and the Asset Forfeiture Unit.

DUTIES:

Manage applicant database entries and updates.

Conduct DMV driver’s license history checks.

Prepare packets including Psychology reports, Applicant Integrity Questionnaires (AIQs), and completed investigations.

Review applicant packets for completeness and follow up with Troop Senior Investigators.

Prepare packets for review by Senior Investigator.

Maintain tickler files to ensure timely report submissions.

File completed applicant reviews and background investigations.

Prepare commission documents and certificates for the Superintendent’s signature. Ensure proper filing with the Department of State and DCJS; forward originals to appropriate agencies.

Send fingerprint cards to designated agencies. Track responses using the tickler file system.

Scan and archive completed investigations to the Field Command share drive.

Process employment verification requests via The Work Number system.

Review Flagged Plate runs on a daily basis, run checks in Fleetwave and the EJustice portal. Prepare Memos to be distributed to each Troop/Unit.

Open and distribute incoming mail.

Maintain the BCI bulletin board.

Answer and direct phone calls to appropriate staff.

Collect and compile monthly reports from the field.

Crosstrain and assist the Executive Support Unit as needed.

Serve as backup for other Field Command - BCI civilian personnel during absences.

Minimum Qualifications One year in a Salary Grade 6 position or higher,

OR

High School Diploma and one year of experience in an administrative support role, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or management of an office.

Minimum qualifications must be met by the date of the posting.
