Job Specifics

Duties Description FIRST POSITION:

1) Work with the Associate Director in processing and assigning account receivable (A/R) files from SUNY campuses to collection agencies.
2) Review collection agency and campus email requests and respond with information requested in a timely manner.
3) Work with SUNY A/R campuses to provide debt confirmation when requested by collection agency due to debtor inquiry.
4) Review collection agency monthly closing reports to properly close debts at six months with no payments or payment plan.
5) Review and approve extensions requests by collection agencies.
6) Review SLSC returned mail from USPO and search for new addresses using multiple online resources.
7) Work with Student Loan Control Representative 2 (Supervisor) to identify accounts 45 days past due, for preparation of blast email process.
8) Support Associate Director with Department of Education mandatory assignment project. Review files, print forms, and package each file for review and signature.
9) Work with Student Loan Control Representative 2 (Supervisor) to maintain the archive files in the basement and review them for the semi-annual purge (Shredding).
10) Request death certificates when SLSC is notified of borrower’s death.
11) Assist with special projects and other duties as assigned

SECOND POSITION:

The Funding Department Assistant plays a critical role in supporting student loan programs by compiling and processing data, managing spreadsheets, and maintaining accurate records. The ideal candidate will have a strong aptitude for numbers, proficiency in Microsoft Office (including Excel and Outlook), and excellent attention to detail.
Key Responsibilities
• Review and compare internal database reports with external agency reports to ensure accuracy.
• Compile, maintain, and analyze spreadsheets using Microsoft Excel.
• Review and adjust borrower accounts within the database system.
• Process, scan, and index both physical and electronic documents into an electronic filing system.
• Handle incoming and outgoing mail related to student loan programs, including mailing correspondence and documents.
• Assist with payment processing on occasion.
• Maintain organization and accuracy in all financial data and documentation.
• Collaborate with team members to improve workflow efficiency and data accuracy.

Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):

One year of clerical experience.

COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):

Candidates must have a reachable score on the University at Albany Office Assistant 2 Exam List OR
Be a current NYS employee and have a current permanent appointment with 1 year of service as an Office Assistant 2, or in a title eligible to transfer to Office Assistant 2 OR
Be a former NYS employee eligible for reinstatement to the title of Office Assistant 2
