Job Specifics

Duties Description The State University of New York (SUNY) System Administration located in Albany, New York is searching for an Executive Assistant to support the Vice Chancellor for Community Colleges.

Responsibilities include but are not limited to:

- Provide executive level administrative support to the Vice Chancellor.
- Prepare materials and background information as needed for Vice Chancellor meetings and travel.
- Prepare and/or edit routine communications, i.e. justifications for travel, special events and purchasing approvals.
- Be the initial point of contact for questions and independently respond to inquiries concerning programs, policies, and procedures with the ability to understand when more detailed answers are required and where to direct inquiries further.
- Manage all tasks related to travel of the Vice Chancellor and additional office staff as needed.
- Arrange conferences, conference calls and schedule meetings.
- Conduct research and gather information for the preparation of documents, presentations, reports, tables and charts to support the Vice Chancellor in making informed decisions.
- Manage and prioritize tasks, keeping the Vice Chancellor advised of time-sensitive issues, ensuring deadlines are met and work is completed to a high standard.
- Liaison between key executives, staff, and other employees and delegating responsibilities to appropriate team members or departments.
- Maintain confidential records and files with the utmost discretion, ensuring that all information is organized and easily accessible.
- Manage and maintain contact and correspondence databases. This includes maintaining, updating, and distributing the campus contact list and various system-wide listservs.
- Assist in the preparation and finalization of official documents (i.e. letters, memos, invitations) both electronic and hard copy for the leadership team.
- Provide support to the Vice Chancellor on all office projects, including collecting and maintaining data and assisting with monitoring trends and initiatives related to the Office of Community Colleges and Education Pipeline.
- Work effectively with other offices within SUNY System Administration as needed to achieve these and other tasks
- Support administrative needs of additional Office of Community College staff as needed.
- Perform other duties as assigned by the Vice Chancellor.

Minimum Qualifications Required Qualifications:

- Bachelors degree
- A minimum of two years experience as an administrative assistant in an office environment
- Ability to manage multiple complex schedules
- Ability to use independent judgement and maintain confidentiality
- Proficiency with Microsoft Office and aptitude to learn new computer applications
- Excellent organizational skills and ability to manage multiple priorities
- Exceptional verbal and written communication skills
- Ability to adhere to deadlines as required
- Detail oriented and able to work with a team in a fast-paced environment

Preferred Requirements:

- Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Access) and Adobe Acrobat Professional
- Strong proofreading, data collection, and research skills
- Knowledge of SUNY or New York State policies and procedures

Additional Comments - Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $58,000-$65,000 annually.
- State Title: Administrative Staff Assistant (Grade MP5) and is a Management Confidential position.
