Job Specifics

Duties Description Duties include, but are not limited to:
• Provide phone coverage, respond to inquiries and process mail.
• Provide office support in purchasing supplies and maintaining distribution lists, and COOP and phone trees
• Maintain Administration schedules and tracking time-off requests and telecommuting schedules.
• Submit IT and Operations tickets on behalf of the division of Administration and serve as point of contact for equipment delivery/retrieval or service (printer maintenance, break/fix, etc.).
• Schedule meetings and conduct reference checks.
• Compile and distribute regular reports, including annual hearing binders, biweekly & monthly hire reports, and onboarding and offboarding reports.
• Assist with division training compliance.
• Coordinate travel arrangements and itineraries and submit Travel/Training Requests to fiscal management where necessary.
• Draft expense reports through the State Financial System (SFS) on behalf of the leadership team.
• Participate in meetings and take notes for distribution.
• Other tasks as assigned.

Minimum Qualifications Permanent Transfer Candidates:
Current NYS Department of Health employee with one year of permanent or contingent-permanent, competitive, service as a Health Program Administrator, SG18 OR current NYS employee with one year of permanent or contingent-permanent service in a position eligible to transfer under Section 52.6, Section 70.1, or Section 70.4 of the NYS Civil Service Law to Health Program Administrator Trainee 1, NS, Health Program Administrator Trainee 2, NS, or Health Program Administrator, SG18.

Non Competitive Candidates via NY HELPS:
Health Program Administrator Trainee 1, NS: Four years of experience in the administration, supervision, and oversight of programs including but not limited to the design, implementation, administration, management, operation, and assessment of program effectiveness; OR an associate's degree and two years of experience OR, a bachelor's, master's, or doctoral degree.

Health Program Administrator Trainee 2, NS: Five years of experience in the administration, supervision, and oversight of programs including but not limited to the design, implementation, administration, management, operation, and assessment of program effectiveness; OR, an associate's degree and three years of experience; OR a bachelor's degree and one year of experience; OR a master's, or doctoral degree.

Health Program Administrator, SG18: Six years of experience in the administration, supervision, and oversight of programs including but not limited to the design, implementation, administration, management, operation, and assessment of program effectiveness; OR, an associate's degree and four years of experience; OR a bachelor's degree and two years of experience; OR a master's and one year of experience; OR a doctoral degree.

Preferred Qualifications: The preferred candidate will have excellent organizational and communication skills (both written and verbal) and strong attention to detail with knowledge of administrative office procedures and governmental operations in New York State. Proficiency in the use of Microsoft Office 365 products. Demonstrate strong critical thinking and excellent problem-solving skills. Experience analyzing information and understanding program policies. Ability to act independently while handling competing priorities in a high-volume work environment. Strong interpersonal skills and ability to work in a team.

Additional Comments This position is part of the NYS HELPS program. No examination is required.
