Job Specifics
Duties Description Duties Include but are not limited to:
• Serve as the primary liaison with agency partners to direct the transition of assets into centralized warehouse/distribution center locations managed by OGS.
• Work with tenant agencies to move assets, performing physical inventory for transferred product and coordinating surplus requests.
• Manage the distribution of publications and materials for tenant agencies.
• Process requests and maintain daily communication with tenant agencies.
• Maintain accountability of warehouse items using inventory system.
• Communicate with OGS staff to ensure that assets being transitioned are appropriate for a specific space.
• Represent OGS Distribution Management in communications or meetings with supply contractors, manufacturers, and tenant agencies.
• Act as Health and Safety Representative for onsite staff.
• Analyze internal controls and processes and recommend procedural or policy changes to improve operations.
• Interpret and communicate work procedures and agency policies to staff.
• Possess a diverse knowledge of material handling equipment, storage solutions, space management, shipping diversity, inventory management, and code compliance.
• Schedule preventative maintenance and repairs for facility vehicles and equipment.
• Oversee daily inspection of the facility to identify safety hazards, maintenance needs, and cleanliness issues.
• Recommend capital improvements, equipment purchases, and maintenance contracts.
• Ensure equipment is inspected regularly and remains in safe working conditions.
• Train employees in proper equipment use and reporting maintenance issues.
• Coordinate with program supervisors to respond to after-hours alarm calls and security notifications, coordinating appropriate action and on-site presence when required.
• Perform the full range and scope of supervisory responsibilities.
• Perform all other duties as assigned.
Operational Needs:
• Possession and maintenance of a valid Driver’s License issued by the New York State Department of Motor Vehicle is required. Operation of a motor vehicle will be required.
• Ability to bend, lift, climb and to stand and walk for long periods of time.
• Ability to lift a minimum of 70 pounds.
• Flexibility to work in environments of fluctuating temperatures including limited periods outside, year-round.
• Required to respond to warehouse emergencies 24 hours a day, 7 days a week.
• Required to travel (approximately 10%), including during evening and weekends, depending on mission and assignment.
• Obtain and maintain certification in CPR and comply with established safety procedures.
Note: There is no examination required for appointment to a NY HELPS position. Candidates hired via NY HELPS will be appointed on a permanent non-competitive basis and will begin a probationary period.
At a future date (within one year of permanent appointment), it is expected that NY HELPS employees will have their non-competitive employment status converted to competitive status, without having to take an exam. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:
Six years of experience managing a warehouse of at least 40,000 square feet that includes oversight of inventory; development and implementation of shipping and receiving work schedules and assignments; coordination and enforcement of operational, personnel and safety policies and procedures, and logistics. One year of this experience must have included supervising warehouse staff and two years of this experience must have included operating a forklift.
Substitutions: an associate degree in a related field can substitute for two years of specialized experience; a bachelor’s degree in a related field can substitute for four years of experience; a master’s degree in a related field can substitute for five years of experience; and a doctorate in a related field can substitute for six years of experience.
NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK.
