Job Specifics
Duties Description The Assistant Insurance Fund Services Representative will be responsible for independently handling all aspects of the food and event processes from inception to completion.
Responsibilities include, but are not limited to:
· Gathering necessary documents and approvals for food requests.
· Logging and tracking food and event requests.
· Coordinating with various Business Units to create menus and obtain attendee lists.
· Researching Executive Order 32 complaint vendors for various NYS regions.
· Placing food orders and managing via p-cards and Purchase Orders.
· Working with Property Services when events are held in house to ensure space and capacity needs are met.
· Executing small discretionary agreements for outside events held at hotels or schools, for example.
· Organizing speakers for events.
· Obtaining appropriate forms and insurance for vendors.
· Other duties as assigned.
Minimum Qualifications For appointment via NY HELPS:
• Four years of customer service experience that required independence in both verbal and written communication responsibilities; OR
• Associate’s degree or higher and two years of customer service experience that required independence in both verbal and written communication responsibilities.
For competitive appointment:
• Current New York State employee with one year of permanent competitive class service in a title eligible for transfer under Section 70.1 of Civil Service Law. Appointments via transfer must not result in a second, consecutive transfer with an advancement of more than two S-grades or one M-grade. Eligible titles include, but are not limited to: Admnv Assistant 1, Program Aide, Payroll Examiner 1.
Reinstatement:
• Candidates who have previously held the Assistant Insurance Fund Services Representative title, or a transferable title, may be eligible for consideration for reinstatement.

NY HELPS Program:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
