Minimum Qualifications Permanent transfer candidates: Current Department of Health (DOH) employee with permanent or contingent-permanent status as a Health Program Administrator (G18); OR current NYS employee with one year or more of permanent or contingent-permanent, competitive service in a title eligible to transfer under Section 52.6, Section 70.1, or Section 70.4 of the Civil Service Law to a Health Program Administrator (G18), Health Program Administrator Trainee 1 (NS), or Health Program Administrator Trainee 2 (NS). Preferred Qualifications: Experience assisting with contracts/grants. At least one year of experience in the development of written materials including meeting minutes, reports and/or evaluations. Experience maintaining database, spreadsheet and/or tracking systems. Experience supervising staff. Proficiency with MS Office (Word, Access, Excel and PowerPoint).
Duties Description The incumbent will be responsible for providing a wide range of administrative coordination tasks related to the day-to-day operational needs of the Bureau. The duties of this position include, but are not limited to, the following:
Provide logistic and administrative support for tobacco control meetings, including Advisory Board meetings. Maintain list of members, coordinate member correspondence, maintain timelines for meeting preparation, process necessary documents for review/approval, maintain meeting minutes and provide logistics support for in-person and/or virtual meetings. Provide support to ensure meetings are planned and executed in accordance with programmatic guidance.
-Assist with procurement coordination including but not limited to, timeline management, coordination of electronic files, and document review/approval process.
-Work collaboratively with the Community Programs Manager to update grantee guidance documents. Assist with guidance document development, dissemination and filing to ensure that community program teams are adhering to DOH and TCP contract management guidelines.
-Assist community programs team with database management, voucher tracking, communication for budgets and workplan documentation, and other record keeping issues related to contract management.
-Assist with coordinating contractor monitoring processes and guidance, such as site visits.
-Supervise administrative support staff.
-Assist with routine administrative functions of the bureau. Work with program secretary to compile monthly TCP activity report; distribute monthly report to TCP staff and regional supervisors, maintain organization of bureau’s electronic files and support bureau staff on time-sensitive projects as needed.
Additional Comments Permanent, competitive full-time. Two year traineeship leading to a G18. Transfer candidates may be asked for SSN to verify title history and eligibility. Occasional travel, including overnights and travel to areas that may not be served by public transportation is required (5%).
