Duties Description Rockefeller Arts Center, as a facility, houses four performance venues and two art galleries, plus numerous offices, studios, rehearsal rooms and shops. As an administrative unit of the campus, Rockefeller Arts Center is responsible for scheduling and coordinating 125+ public events annually. Many of the events are by the School of Music and the Department of Theatre and Dance. The Arts Center is the primary presenter of outside touring artists and ensembles and provides a robust set of services to users of the facilities. Some of these include house management and ushering, the publication of event playbills for major series events, the annual Entertainment Guide and an annual "Friends of RAC" fundraising campaign, the proceeds of which support public programs by the School of Music and the Department of Theatre and Dance, as well as RAC itself.

The Campus Ticket Office is an administrative unit of the campus, reporting to the Executive Director of RAC. Its main office is located in the Williams Center (the student union), with remote outlets/ticket counters located at each of the performance venues within RAC. In addition to conducting both reserved seating and general admission events within RAC, the CTO handles ticketing for commencement and a wide variety of student activities. It also supports student group fundraisers by managing a cash box loan system. Further, the CTO organizes and sells tickets to two types of term break transportation services: its Shuttle Service goes to the Buffalo Airport and the Depew Amtrak Station; its Charter Bus Service goes to NYC and Long Island with additional stops along the way.

Administrative Assistant duties such as: answering phones, opening and routing mail, maintaining an organized filing system, ordering office supplies and equipment as needed through the FredMart system, supervising students in routine office tasks and procedures including medium sized mailings, monitoring departmental email accounts and forwarding/responding as necessary.,

Financial: Issuing invoices, preparing and making deposits, tracking income and expenses, reconciling accounts.

Specific to Rockefeller Arts Center:

Making and managing hotel reservations and arranging hospitality/catering needs for visiting artists/ensembles per their contracts and riders, reaching out to artists/agents as needed to work out specific details.

Specific to the Campus Ticket Office:

Become familiar with the office ticketing system (Glitnir Ticketing) and proficient in its use; assist the ticket office manager with the training and supervision of student ticket agents.
Be familiar with all events on sale through the ticket office (including transportation services, prices and schedules) and be able to answer questions about the same.
Serve as a resource when customers have questions that the student ticket agents are not sure how to answer; serve as the initial escalation point above the student ticket agents when customers have complaints or problems; resolve issues when possible and refer to manager when necessary.
Be responsible for group sales (accepting reservations, adjusting totals, releasing un-needed seats, accepting/receiving deposits and final payments.)
Prepare cash boxes for approved student group fundraisers; issue boxes (and change funds) to designated representatives of student groups, and accept cash boxes upon their return, ensuring that proceeds are correctly accounted for and prepared for deposit and that the original change fund is properly returned and accounted for.
Verify the amount of cash in the master change fund on a weekly basis, report any overage or shortage to the ticket office manager and help troubleshoot and rectify discrepancies.

Minimum Qualifications Non-competitive (NY HELPS):

High school diploma or high school equivalency diploma
Two years of experience in administrative support
Use of office software (e.g., email, word processing)

*Reassignment Requirement: You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.

*Reinstatement Requirement: You must be a former state employee to request reinstatement to the title that was held (or transferable title).

*Administrative Assistant Trainee 1 Transfer Eligibility -----------
Requirement: You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).

*Administrative Assistant Trainee 2 Transfer Eligibility Requirement: You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.

*Administrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.

*Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.

All applicants must meet at least one of the above requirements.

Additional Comments The Rockefeller Arts Center seeks qualified candidates for an Administrative Assistant 1/Trainee. This is a full-time, Administrative Assistant 1/Trainee, 12-month, contingent permanent, SG11, CSEA represented position with an entry level salary of $46,306.
