Duties Description This position will be the sole support for the Northville Sub-Office which includes staff from the Natural Resources and Operations programs. Duties include typing, and proofreading correspondence; copying, scanning and filing, both electronically and paper; reconcile procurement and travel cards; and schedule meetings. This position will be responsible for answering the phones and greeting visitors to the Northville office. The ideal candidate for this position will have substantial knowledge in the agencies rules and regulations to answer public inquiries regarding hiking, hunting, fishing and environmental quality. Candidate must be prompt, courteous and helpful. May be required to take messages when necessary.
Oversee the conference room for the Northville office to ensure meeting space is set up appropriately based on the needs of the meetings. Coordinate room set up and equipment functionality for staff.
Assist the Division of Operations with data entry, scanning and other projects as assigned. Assist Recreation with seasonal hiring paperwork and orientation appointments. Review employment applications Part 1 & Part 2, employee forms (retirement, health insurance, financial etc.) for completeness and accuracy.
Serve as the point of contact for mobile field tablets for Regional staff. Maintain a sign-out sheet and ensure tablets receive software updated and in working order. Keep an accurate up to date manual and stay updated on ITS developments with the tablets to train staff on changes. Update written procedures pertaining to these devices as needed.
Independently organize and compile data from trail registries. Enter information accurately into spreadsheets used by program staff to evaluate usage.
Sell sportsman licenses to the public and maintain proficiency in DECALs and license requirements.
Perform miscellaneous duties as assigned.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
To be eligible for appointment under NY HELPS, candidates must meet the minimum qualifications below:
One year of clerical experience.
Additional ways to qualify:
Reassignment - Currently in the title and an employee of DEC
or
Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or
Transfer Eligible - One year of permanent competitive service at Salary Grade 7 or higher and:
Eligible for transfer under Section 70.1: Permanent competitive service as an Office Assistant 2, Office Assistant 2 (Calculations), Office Assistant 2 (Keyboarding), Office Assistant 2 (Stores/Mail), Secretary 1. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT".
Additional Comments Must have a valid driver’s license or demonstrate the ability to meet the transportation needs of the position.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
