Minimum Qualifications The ideal candidate will have a bachelor’s degree required and at least 3-4 years of experience in an administrative setting. Public sector experience is preferred.

In addition, the ideal candidate will possess the following skills:

Duties Description The Executive Assistant will coordinate all of the Commissioner’s administrative activities, provide support to Executive level staff, and will have frequent contact with representatives at all levels, including: the Governor’s Office, the various control agencies (i.e., Civil Service, Budget, and Comptroller), State Legislature, other State and Federal agencies, and the general public. The Executive Assistant will also research, analyze, and evaluate complex, confidential, sensitive and controversial issues impacting OGS’s policies, procedures, operations, goals, objectives and mission. The incumbent will have daily access to highly confidential information and files.

Duties include, but are not limited to:

• Manage the general administrative activities of the Commissioner’s Office, including managing sensitive, confidential information in an appropriate and professional manner.

• Organize and set the priorities of work to be accomplished on a daily or weekly basis. This may involve working intensely with the Commissioner and her Cabinet to clarify the work to be organized and produced. Provide scheduling, logistics and advance support.

• Coordinate and monitor on-going projects, programs and activities of interest and concern to the Commissioner and maintain contact with program management to ensure the availability of accurate, up-to-date information.

• Liaise administrative matters between the Commissioner and other State agency Executives and managerial staff.

• Researches, writes, edits and/or coordinates preparation of special reports, briefings, and presentations; conceives, crafts, and edits messages, letters, and other communications on behalf of the Commissioner and executive leadership, as needed.

• Builds and maintains successful working relationships and coordination with a wide range of offices, staff, and stakeholders, both internal and external.

• Manages high-priority projects / initiatives in the Office of the Commissioner. Prioritizes and manage multiple projects simultaneously while following through on issues in a timely manner.

• As needed, provides event management and advance support for Commissioner & Executive Staff at events in the Albany region.

• Provide administrative support, including:

o Prepare and/or edit reports, memos, letters, press releases and other documents using software related to word processing, spreadsheets, databases, and presentations.

o Coordinate travel, conferences, and organization-wide activities.

o Coordinate, log and track all correspondence received, including opening, reviewing, sorting, and distributing mail and email to Executive level staff. Prepare correspondence for Commissioner’s signature and other Executive level staff. This may include formatting and writing correspondence and coordinating information with other OGS staff.

o Receive and screen telephone inquiries from internal OGS staff, other State government officials and the public responding directly to inquiries or referring them to appropriate staff as necessary.

o Perform other office support activities and related tasks as assigned by the Commissioner.

• Perform full range of supervisory responsibilities, if applicable.
