Minimum Qualifications • Baccalaureate degree from an accredited college and two years of full-time experience in Business or Public Administration, or related administrative field.

• Associate degree from an accredited college and four years of full-time experience in Business or Public Administration, or related administrative field.

Preferred qualifications:

• Highly organized and detail-oriented;
• Previous public sector experience and experience in an executive office;
• Excellent verbal and written skills;
• Highly professional in demeanor. Able to interface easily with people at all levels, including state executives;
• Proficiency in Microsoft Word, Excel, PowerPoint, Outlook;
• Knowledge of Microsoft Office 360 and SharePoint;
• Ability to multi-task

Duties Description The Special Assistant will provide professional administrative support to executives, program managers and staff by conducting human resources, financial administration, administrative analysis, and management planning. In addition, incumbent will work with considerable independence within the scope of their assignments and will have frequent written and oral communications with a wide variety of people, including executive and management staff, co-workers, representatives at other state agencies, and the general public.
Illustrative duties:
• Assist with Diversity/Equal Opportunity, MWBE and SDVOB initiatives.
• Assist with the Board’s Personnel, Human Resource, and Payroll functions as required.
• Provide assistance and advice for on-boarding/off-boarding staff.
• Assist in preparing and administering the annual budget and financial plan.
• Manage purchases and requisitions of goods and services.
• Arrange and assist in conducting interviews.
• Maintain agency training records.
• Prepare procedures to describe, revise and control work activities.
• Manage central files, printing, inventory, and other support operations.
• Develop and implement record-keeping systems and controls.
• Compile data and conduct special studies as needed.
• Answer questions and exchange information with staff and management.
• Provide functional supervision over work activities and programs.
• Assist on all tasks and matters as may be reasonably assigned.
