Minimum Qualifications Open to NYS employees with one year of permanent competitive service as an Administrative Assistant OR in a title SG-6 or above deemed administrative under Section 52.6 of the Civil Service Law OR in a title SG-6 or above appropriate for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Qualifications for Administrative Assistant Trainee, NS:

Also open to NYS employees in a title designated appropriate for Section 70.1 transfer to the title of Administrative Trainee 1 or Administrative Assistant Trainee 2.

Candidates with at least one year of permanent competitive service in a title allocated to G-11 or higher who have standing on the PCO or PMI eligible lists, or who have a bachelor’s degree and are active on the PATT eligible list may be eligible for transfer under the provisions of Section 70.4 of the Civil Service Law.

Candidates eligible for consideration under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55-b/c of the Civil Service Law will also be considered. Individuals certified eligible for the 55-b/c program must possess a bachelor's degree to meet the education qualifications. Salary range above applies to candidates appointed to Administrative Assistant 1, G-11. Candidates hired into the traineeship will be advanced to Administrative Assistant upon the successful completion of a two-year traineeship.

Duties Description Under the direction of the Project Manager 3, SG-25, within the Chief Technology Office, Service Delivery, IT Assets and Telecom Management section as part of the Back Office Services Support (BOSS) Team, the Administrative Assistant 1 will assist the service owners in submitting the paperwork required for procurements.
Specific duties include, but are not limited to:
• Work with Team to review mail received in general mailbox, forward to appropriate person and/or file in the electronic email file.
• Provide data entry support to Team. Enter provided data timely and accurately. Proofread and correct any errors.
• Assist with responding to inquiries received regarding status of requests.
• Provide suggestions for improving processes and procedures.
• Implement policies and procedures within the Team as needed.
• Respond to phone calls and general email inquiries.
• Assist team with generating and organizing reports for executive review on an ongoing basis.
• Address day-to-day operational issues and work with appropriate parties to resolve.
• Manage team calendar to ensure data is updated appropriately.
• Monitor status of the team transactions or escalations to provide status to the team on a weekly basis.
• Assist Supervisor and Leads with gathering and coordinating data from individuals, systems and SharePoint.
• Organize files to post to the SharePoint.
• Assist the Team with projects that may be assigned, as needed
• Bring any issues or escalations to the attention of the Team.
