Minimum Qualifications Administrative Assistant Trainee 1, NS=SG-8:
Interested candidates must be reachable on an appropriate eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive or 55 b/c service in a qualifying title allocated to a salary grade 6 or higher. If the candidate is not currently incumbering or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency.
Successful completion of a two-year traineeship leads to appointment to Administrative Assistant 1, SG-11.
Administrative Assistant Trainee 2, NS=SG-10:
Interested candidates must be reachable on an appropriate eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 8 or higher AND completed the four core administrative support courses. If the candidate is not currently incumbering or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Administrative Assistant 1, SG-11:
Interested candidates must be reachable on the Administrative Assistant 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
70.1 Transfer:
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive or 55 b/c service in a qualifying title allocated to a salary grade 9 or higher. If the candidate is not currently incumbering or has not previously held a keyboard or secretarial title, the candidate will have to take and pass a typing proficiency exam to qualify for transfer.
Duties Description • Perform administrative tasks for bureau director and bureau
o Assesses incoming correspondence and phone inquiries and forwards to appropriate business unit, as warranted.
o Maintains supply inventories and processes ad hoc requests for PODs or individual equipment.
o Creates and updates organization charts and other bureau-wide documents.
o Sets up interviews on behalf of the bureau and sends all appropriate documentation.
o Provides back up phone/mail coverage and transfers calls and correspondence to appropriate staff.
o Prepares, edits and reviews routine correspondence of a technical nature.
o Assists with scheduling of meetings and training classes.
o Maintains bureau share drive, including bureau and unit documents (i.e., phone listings, schedules, agendas, calendars, etc.) and post revised information to Bureau bulletin boards.
o Documents requests from BCDS staff to ERS Building for cubicle or phone changes, obtaining necessary management approval.
o Attends building liaison meetings.
o Receive performance evaluations from supervisory staff and submit to admin services.
o Review Miscellaneous Document cases in People Soft and assign to the appropriate parties in the bureau.
o Handles other duties as assigned.
• Provide back up to bureaus other admin assistants
o Submits bureau security requests accurately to reflect appropriate and timely system access changes.
o Reviews and forwards security reviews from ERS Security to the appropriate member of bureau management and follows up to ensure a timely response.
o Attends BSC meetings and periodic training.
o Perform the tasks in the Legal Rep case in PS for POA and Guardian paperwork.
Additional Comments Desired Competencies
• Has knowledge of laws, rules, regulations, legal opinions, and established written procedures of New York State and Local Retirement Systems.
• Be able to communicate complex benefit information to Systems members, demonstrating excellent listening, written and verbal communications skills.
• Must be able to prepare, understand and interpret written materials.
• Be familiar with the principles and practices of administrative and technical supervision.
• Must be skilled in arithmetic reasoning and able to perform high level complex calculation.
• Must be able to cross train, coach, mentor and transfer knowledge of benefit calculations to staff.
