*Posted Hiring Salary includes the sum of statutory hiring rate for ($33,157) and Mid-Hudson Adjustment ($1,513). The Mid-Hudson Adjustment ($1,513) is also added to job rate ($41,018).
Permanent Qualifications: Candidates must currently be a permanent Office Assistant 1 OR be reachable on
the current Civil Service eligible list
Transfer Qualifications: Candidates must be eligible for transfer under Section 70.1 of the Civil Service Law.
Provisional Candidates: There are no minimum education or experience requirements for these examinations.
Duties Description POSITION DESCRIPTION:
The Office Assistant 1 (OA1) will work in the Office of Human Resource Management providing clerical and data entry support to
3 - SG18's and 1-SG23 as well as backup for other office staff. This position requires strong communication and computer skills, proficiency with Microsoft Word and Excel preferred. The OA1 must have the ability to function with minimal supervision. This position requires organization, attention to detail and multi-tasking.
PRIMARY DUTIES AND RESPONSIBILITIES:
Duties include, but are not limited to:
• Making/receiving a high volume of phone calls and taking messages
• Receiving a high volume of e-mails and sending appropriate replies
• Contacting candidates to schedule interviews
• Obtain additional documentation or follow-up as needed
• Daily review of the shared OHRM Staffing mailbox and printing out responses and performing following up
• Running preliminary background checks on candidates being considered for applied positions and verifying professional credentials
• Sending follow-up correspondence to candidates not selected for applied position(s)
• Generate CS lists, code responses as directed by HR Spec 1 SG18 and review CS list coding in ELMS
• Filing
• Preparation of onboarding packets and candidate folders
• Backup for receptionist phone coverage
• Enter candidate submissions & employment applications in OHRM tracking spreadsheet
• Provide assistance preparing for and at recruitment events
• Upload postings to the OPWDD Intranet and StateJobsNY sites
• Other duties as assigned
