Operational Needs:
Relevant experience in an office setting preferably in an administrative role
? Excellent organizational skills, ability to prioritize, and comfortable working independently
? Proficient computer skills including with Microsoft Office Suite (Word, Excel, PowerPoint etc.) and Adobe products
? Strong attention to detail
? Strong communication and interpersonal skills
Duties Description The Office Aide will assist the Division and Bureau with administrative duties. The applicant must be able to work as a member of a team and be comfortable working in the office. The applicant must have good organizational skills as well as excellent written and verbal communication.
Arrange travel for staff, prepare and process travel vouchers in State Financial System (SFS)
? Manage purchases and reconcile statements in SFS
? Order/purchase office supplies, maintain office and specialty printer supplies, provide evaluation of products and recommendations on purchases, and track Bureau expenditures
? Ensure documents requiring executive staff signature are signed in a timely manner
? Answer phones for Division
? Receive and distribute incoming mail
? Schedule meetings and reserve rooms and provide access for visitors
? Keep and coordinate schedules for staff
? Transcribe meeting notes
? Create and maintain mailing lists
? Organize and assemble mass mailings
? Make photocopies and scan documents to be e-mailed out or saved electronically
? Update databases, spreadsheets and reports maintained and produced by the Division
? Proofread and edit letters, forms/applications, large documents and technical reports that will be distributed to the public, for grammar and formatting according to Agency, Bureau, and/or program guidelines and standards.
? Manage and maintain electronic and paper files and record retention schedules for the Bureau.
