Minimum Qualifications Required Qualifications:

The successful candidate must be reachable on the full-time, permanent Civil Service list for Administrative Assistant 1, or Administrative Assistant Trainee 1, have held the permanent title of Administrative Assistant 1 in the past or be eligible to transfer into the title.

Appointment can be made at the trainee level. To qualify for the traineeship, candidates must have one year of permanent service in a clerical title allocated to Grade 6 and above (e.g., Office Assistant 1, Office Assistant 2)

Duties Description Duties Description:

Preparing, coordinating, and distributing all materials for Alumni Association Board of Directors meetings and committee meetings.

· Preparing Alumni Association checks and deposits.

· Assisting in the preparation of documents for the Alumni Association’s annual audit.

· Making travel arrangements for all staff members in the Office of Alumni Engagement as needed.

· Assisting with event planning e.g., making nametags, gathering materials, and helping with onsite registration.

· Ordering supplies and equipment.

· Pulling exports from our database for email lists, mailing lists, event invitations, and event registration lists.

· Taking minutes at staff meetings.

· Reconciling event registrations from our online community to our database.

· Updating constituent records as needed.

· Proofing all names and class years listed in Reflections magazine.

· Maintaining a list of Alumni Association scholarship recipients.

· Supervising a work-study student and an Office Assistant 1.

The Office of Alumni Engagement works collaboratively with the SUNY Oneonta Alumni Association to connect, engage, support, and celebrate graduates of SUNY Oneonta.
