Minimum Qualifications Minimum Qualifications:
The successful candidate must be reachable on the full-time, permanent Civil Service list for Administrative Assistant 1, or Administrative Assistant Trainee 1, have held the permanent title of Administrative Assistant 1 in the past or be eligible to transfer into the title.

OR

Appointment can be made at the trainee level. To qualify for the traineeship, candidates must have one year of permanent service in a clerical title allocated to Grade 6 and above (e.g., Office Assistant 1, Office Assistant 2).

Duties Description Duties Description: This position is a split assignment between the Political Science and Economics departments.

• Support and assist Department chairs, faculty, and students.

• Maintain department records and assist with scheduling, pre-enrollment, travel, budget, supplies and student forms.

• Maintain department calendars, schedule, and organize meetings.

• Assist advisors of honor societies.

• Answer telephone and gives information to callers, take messages, and transfer calls to appropriate individuals.

• Greet visitors or callers and handle their inquiries; or direct them to the appropriate persons.

• Set up and manage paper and electronic filing systems.

• Use various information technology applications such as email, database, spreadsheets, and word processing applications.

• Operate office equipment such as printers, scanners, and copiers; and arrange for repairs when equipment malfunctions.

• Create, maintain, and enter information into spreadsheets and databases.

• Maintain scheduling and event calendars.

• Coordinate conferences, meetings, or special events, such as luncheons or graduation ceremonies. Make travel arrangements for staff. Create and/or submit travel expense reports for staff.

• Complete forms in accordance with department procedures.

• Make copies of various documents, place them in proper files, and distribute them to appropriate staff.

• Locate and attach appropriate files to incoming correspondence requiring replies.

• Search for information using various sources including the internet.

• Mail various items including letters, reports, and promotional materials.

• Order and distribute supplies.

• Create conference or event materials such as flyers or invitations.

• Input the schedule of courses into Banner.

• Assist in maintaining the Department websites.

Additional Comments Department Descriptions:
The Political Science Department offers two majors, a degree in Political Science with a focus on governments, public policies and political processes, political ideas and values, and political behavior in the United States and in all regions and countries of the world, and a degree in International Studies that engages students with major political, economic, social, and cultural issues that dominate the international agenda. There are seven full-time members of the Department.

The Economics Department houses the Economics Major and Economics Minor. There are six full-time faculty in the Department.
